1. Introduction
Welcome to Church Directory Plus ("the App," "we," "us," or "our"). These Terms of Service ("Terms") govern your access to and use of our mobile application, which provides church directory management services to religious organizations and their members.
By downloading, installing, or using the App, you agree to be bound by these Terms. If you do not agree to these Terms, do not use the App.
2. Service Description
Church Directory Plus is a multi-tenant church directory management platform that allows:
- Church organizations to manage their member directories
- Church members to view and interact with their church community
- Authorized administrators to manage member profiles, groups, roles, and permissions
- Members to submit membership applications and profile update requests
- Communication through push notifications and SMS messaging
Each church organization ("Organization") operates independently within its own secure environment (tenant), ensuring data privacy and isolation between different churches.
3. User Accounts and Registration
3.1 Account Creation
- Accounts are created by your church administrator or through an approved membership application process
- You must provide accurate and complete information during registration
- You are responsible for maintaining the confidentiality of your account credentials
- You must notify us immediately of any unauthorized access to your account
3.2 Account Security
- We implement security measures including:
- Failed login attempt tracking and temporary account lockouts
- Secure password reset processes with verification codes
- Token-based authentication with automatic refresh
- You are responsible for all activities that occur under your account
3.3 Age Requirements
Users must be of sufficient age to consent to data processing under applicable laws (typically 13 years or older in the United States, or as required by local law).
4. User Roles and Permissions
The App implements a role-based permission system where different users have different levels of access:
4.1 Permission Categories
- Basic Access: View member directory (limited information)
- Member Management: Add, edit, or remove members
- Group Management: Create and manage groups
- Administrative Access: Full access to administrative tools, settings, and reports
- Specialized Permissions: Access to specific data fields (addresses, birthdays, employment info, etc.)
4.2 Data Visibility
- Your ability to view other members' information depends on your assigned roles and permissions
- Your church administrator controls which information fields are visible to which roles
- You can only view data that your permissions allow
5. Acceptable Use
5.1 You Agree To:
- Use the App only for its intended purpose of church directory management
- Respect the privacy and personal information of other members
- Comply with all applicable laws and regulations
- Maintain the accuracy of your profile information
- Use appropriate and respectful language in all communications
5.2 You Agree NOT To:
- Share your account credentials with others
- Access or attempt to access data you are not authorized to view
- Use the App to harass, abuse, or harm others
- Distribute spam, malware, or malicious content
- Attempt to bypass security measures or exploit vulnerabilities
- Scrape, copy, or export data for unauthorized purposes
- Use the App for any commercial purpose without authorization
- Impersonate another person or organization
- Interfere with or disrupt the App's functionality
6. Data Collection and Privacy
6.1 Information We Collect
The App may collect and process the following types of information:
Required Information (for account creation and basic functionality):
- Name (first, last), email, phone number
- Church membership status
Optional Information (collected with consent):
- Address, family relationships, employment details
- Photos (profile and family pictures)
- Previous church information
Automatically Collected Information:
- Device information, app usage logs, IP addresses
- Push notification tokens, crash reports
6.2 How We Use Your Information
- Provide and maintain church directory services
- Enable communication between church members
- Process membership applications and profile updates
- Authenticate users and maintain security
- Provide customer support
- Generate analytics and reports for administrators
- Comply with legal obligations
6.3 Data Storage and Security
- Your data is stored in secure, encrypted databases
- Each Organization's data is isolated in separate database schemas
- Images are automatically processed, resized, and compressed for optimal storage
- We use industry-standard security measures including:
- Encrypted data transmission (HTTPS/SSL)
- Secure token-based authentication
- Database access controls
- Regular security updates
6.4 Data Sharing
We do not sell your personal information. We may share data:
- Within your Organization as permitted by your role-based permissions
- When required by law or legal process
- To protect our rights, property, or safety, or that of others
- With your explicit consent
6.5 Data Retention and Deletion
We retain your data for as long as your account is active and for a reasonable period thereafter for legal, regulatory, and legitimate business purposes.
6.6 International Data Transfers
Your data may be processed and stored in data centers located in the United States. By using our service, you consent to the transfer of your information to countries that may have different data protection laws than your country.
6.7 Children's Privacy
We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete such information promptly. Churches are responsible for ensuring compliance with applicable children's privacy laws when using our service.
6.8 Third-Party Services
The App integrates with the following third-party services:
- Firebase Cloud Messaging: For push notifications
- Sentry: For error tracking and monitoring (may include device info and crash logs)
- Cloud Storage (Digital Ocean Spaces/S3): For storing images and media files
- Twilio: For SMS messaging (welcome messages, notifications)
- Email Services (Mailgun): For sending emails
7. Media and Content
7.1 Photo Uploads
- Users may upload profile photos and family pictures
- Uploaded images are automatically processed (converted to standard formats, resized to appropriate dimensions, compressed to reduce file size)
7.2 Content Ownership
- You retain ownership of content you upload
- By uploading content, you grant us a license to store, display, and transmit it as necessary to provide the service
- Your Organization's administrators may have access to manage your uploaded content
7.3 Content Removal
- You may request removal of your uploaded content by contacting your administrator
- We reserve the right to remove content that violates these Terms
- Deleted content may be retained in backups for a limited period
8. Communications
8.1 Push Notifications
- The App uses Firebase Cloud Messaging for push notifications
- You can manage notification preferences in the App settings
- Notifications may include:
- New membership applications
- Profile update request status changes
- Church announcements and updates
- Administrative alerts
8.2 SMS Messages
- Your Organization may send welcome SMS messages to new members via Twilio
- SMS messaging requires your phone number
- Standard messaging rates may apply
8.3 Email Communications
We may send administrative emails regarding your account
9. Subscription and Pricing
9.1 Organization Subscriptions
- The App operates on a subscription basis for Organizations

- Subscription fees are paid by your Organization, not individual users
9.2 Changes to Pricing
- We reserve the right to modify subscription pricing with notice
- Changes to your Organization's subscription are managed by its administrators
10. Organization Management
10.1 Multi-Tenant Architecture
Each Organization operates independently with its own:
- Dedicated database schema
- Isolated user data
- Separate settings and configurations
10.2 Organization Settings
Organizations can configure:
- Church name, address, and contact information
- Custom logos and branding
- Help contact information
- App store links
- Donation page links
- Welcome message templates
10.3 Data Ownership
- Your Organization owns all data entered into its tenant environment
- Individual members own their personal information
- We provide tools for data export and backup
11. Data Retention and Deletion
11.1 Active Accounts
- Data is retained as long as your account is active
- Your Organization controls data retention policies
11.2 Account Deletion
- You may request account deletion by contacting your administrator
- Upon deletion:
- Personal profile data is removed
- Uploaded media files are deleted
- Relationship data (spouse, children) is updated
- Audit logs may be retained for compliance
11.3 Organization Termination
- If an Organization's subscription ends:
- Data may be retained for a grace period
- Organizations can export their data before termination
- After the retention period, all Organization data is permanently deleted
12. Intellectual Property
12.1 App Ownership
- The App and all its components are owned by VerionLabs LLC
- All rights, title, and interest remain with us
- These Terms do not grant you any intellectual property rights
12.2 Feedback
- If you provide feedback or suggestions, we may use them without obligation to you
- You grant us a perpetual, royalty-free license to such feedback
13. Third-Party Services and Links
13.1 Third-Party Links
- The App may contain links to external websites or services
- We are not responsible for third-party content or practices
- Use of third-party services is subject to their own terms and policies
13.2 Integration Services
- The App integrates with services like Firebase, Sentry, and cloud storage
- These services have their own privacy policies and terms
- We are not liable for third-party service failures or data breaches
14. Disclaimers and Limitations of Liability
14.1 Service Availability
THE APP IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE. WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE.
14.2 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- We are not liable for any indirect, incidental, special, or consequential damages
- Our total liability shall not exceed the amount paid by your Organization for the service in the past 12 months
- We shall not be liable for any indirect, incidental, special, or consequential damages
14.3 User Responsibility
You acknowledge that:
- The App is a tool for information management
- You are responsible for verifying the accuracy of information
- You should maintain independent records of important data
- You are responsible for your use of the information accessed through the App
15. Indemnification
You agree to indemnify, defend, and hold harmless VerionLabs LLC, its affiliates, officers, directors, employees, and agents from any claims, liabilities, damages, losses, and expenses (including reasonable attorney fees) arising from:
- Your use or misuse of the App
- Your violation of these Terms
- Your violation of any rights of another person or entity
- Your violation of applicable laws or regulations
- Content you upload or share through the App
16. Modifications to the Service
16.1 Service Changes
We reserve the right to:
- Modify, suspend, or discontinue any feature of the App
- Change system requirements or compatibility
- Update the App with new versions
- Perform maintenance that may temporarily interrupt service
16.2 Notice of Changes
- Significant changes will be communicated through the App or via email
- Continued use of the App after changes constitutes acceptance

- We may update these Terms from time to time
- Updated Terms will be posted with a new "Last Updated" date
- Material changes will be communicated to users

18. Termination

- You may stop using the App at any time
- Contact your administrator to request account deletion
18.2 Termination by Us
We may suspend or terminate your access if:
- You violate these Terms
- Your Organization's subscription expires or is terminated
- Required by law or legal process
- Necessary to protect the App, other users, or ourselves
18.3 Effect of Termination
Upon termination:
- Your access to the App will cease
- Your data may be deleted according to our retention policies
- Sections that by their nature should survive will remain in effect
19. Dispute Resolution
19.1 Governing Law
These Terms are governed by the laws of the State of Washington, USA, without regard to conflict of law principles.
19.2 Informal Resolution
Before filing a claim, you agree to contact us to attempt informal resolution.
19.3 Arbitration
Any disputes not resolved informally shall be resolved through binding arbitration, except where prohibited by law.
19.4 Class Action Waiver
You agree to resolve disputes individually and waive the right to participate in class actions.
20. Miscellaneous
20.1 Entire Agreement
These Terms constitute the entire agreement between you and us regarding the App.
20.2 Severability
If any provision is found unenforceable, the remaining provisions remain in effect.
20.3 No Waiver
Our failure to enforce any right or provision does not constitute a waiver.
20.4 Assignment
You may not assign these Terms; we may assign them without restriction.
20.5 Force Majeure
We are not liable for failures due to circumstances beyond our reasonable control.
